2. Information I may collect

I may collect and process personal information including:

  • your name and contact details;
  • information you provide when making an enquiry;
  • correspondence between you and me;
  • information supplied by students, parents or guardians in connection with tuition, mentoring, coaching or university applications;
  • information reasonably required to arrange and provide services;
  • payment, invoicing and transaction records;
  • feedback or testimonials that you choose to provide; and
  • limited technical information generated when you use this website, including information collected through cookies or similar technologies.

Where services are provided to a person under the age of 18, I may also process information about that student which is supplied by the student, their parent or guardian, or another person acting on their behalf.

I ask clients not to provide sensitive personal information unless it is reasonably necessary for the service being provided.

3. How I use personal information

I may use personal information to:

  • respond to enquiries;
  • discuss and arrange prospective services;
  • provide tuition, mentoring, coaching, university admissions support or consultancy;
  • communicate with students, parents, guardians and clients;
  • prepare for lessons, tutorials, consultations or other sessions;
  • administer bookings and appointments;
  • issue invoices and maintain financial records;
  • maintain appropriate records relating to the services I provide;
  • protect the security and proper operation of my website and business;
  • establish, exercise or defend legal claims;
  • comply with legal, regulatory, tax, accounting or safeguarding obligations; and
  • improve the services I provide.

I will not sell your personal information.

4. Lawful bases for processing

Under UK data protection law, I must have a lawful basis for processing personal information.

Depending on the circumstances, I may rely on:

Contract – where processing is necessary to provide services under a contract with you, or to take steps at your request before entering into a contract.

Legitimate interests – where processing is reasonably necessary for the operation of my tutoring, mentoring and consultancy activities, including responding to enquiries, communicating with clients, maintaining appropriate business records and protecting my business, provided those interests are not overridden by your rights and interests.

Legal obligation – where I need to process or retain information in order to comply with a legal obligation, including relevant tax, accounting or safeguarding requirements.

Consent – where I have specifically asked for your consent, for example in relation to certain non-essential cookies, third-party website functionality or particular uses of information. Where processing is based on consent, you may withdraw that consent at any time.

Where particularly sensitive personal information is processed, I will ensure that an additional lawful condition for processing it applies where required by law.

5. Information relating to children and young people

Some of my services are provided to school-age students.

I recognise that children's personal information requires particular care. I aim to collect only information that is reasonably necessary to provide the relevant service, communicate appropriately with students and their parents or guardians, and meet any applicable safeguarding or legal responsibilities.

Where appropriate, arrangements for students under 18 will be made with, or with the involvement of, a parent or guardian.

Information about a child or young person will not be used for unrelated marketing purposes without an appropriate lawful basis.

Safeguarding concerns may, where necessary and lawful, require information to be shared with an appropriate person or authority.

6. Sharing information

I may share personal information where reasonably necessary with organisations that provide services supporting the operation of my business, such as:

  • website hosting and website service providers;
  • email and communications providers;
  • payment, banking or accounting providers;
  • online meeting or teaching platforms;
  • cloud storage or document services; and
  • professional advisers where necessary.

These organisations may process information on my behalf or, in some circumstances, as independent data controllers.

I may also disclose information where required by law, where necessary to protect someone's safety or welfare, or where necessary for the establishment, exercise or defence of legal claims.

I do not sell personal information to third parties.

7. International transfers

Some technology providers may process or store information outside the United Kingdom.

Where personal information is transferred internationally, I will take reasonable steps to ensure that an appropriate legal mechanism or safeguard applies as required by UK data protection law.

8. How long information is retained

I keep personal information only for as long as it is reasonably necessary for the purpose for which it was collected, including satisfying legal, accounting, tax, safeguarding and record-keeping requirements.

As a general approach:

  • unsuccessful or preliminary enquiries will normally be deleted when they are no longer reasonably required;
  • routine correspondence and client records will be retained for a reasonable period following the end of the professional relationship where there is a legitimate business or legal reason for doing so; and
  • financial and transaction records will be retained for the period required by applicable tax and accounting rules.

Information may be retained for longer where reasonably necessary in connection with a complaint, safeguarding matter, dispute or legal claim.

9. Security

I take reasonable organisational and technical measures to protect personal information against unauthorised access, disclosure, alteration, loss or misuse.

However, no internet transmission or electronic storage system can be guaranteed to be completely secure.

10. Your rights

Depending upon the circumstances, UK data protection law may give you rights including the right to:

  • request access to personal information held about you;
  • ask for inaccurate information to be corrected;
  • ask for personal information to be erased in certain circumstances;
  • ask for processing to be restricted;
  • object to certain processing;
  • receive certain information in a portable format; and
  • withdraw consent where processing is based upon consent.

These rights are not absolute and may be subject to legal exemptions.

To exercise a data protection right, please contact info@anthonyboutall.com.

You also have the right to complain to the Information Commissioner's Office (ICO) if you believe that your personal information has been handled unlawfully. I would appreciate the opportunity to address any concern directly first.
